How to get a Zone 2 Meet Sanctioned

  1. Approximately 4 months (120 days) before the date of your meet, complete the Pacific Swimming Sanction Application form and email to sanctions@pacswim.org. The appropriate sanction fees will be collected when you submit your financial statement to Pacific Swimming.

  2. Start drafting your meet sheet and list of events:

  • Refer to the Zone 2 Meet Schedule (above) to determine if your meet has been assigned a specific format (XYZ).
  • Consult your coaches, as necessary.
  • Follow the Zone 2 standard for Entry Priorities and the timeline for opening registration.

 

  1. Apply for a Meet host account with your preferred service provider for online entries:

 

  1. Obtain Meet Referee, Head Starter and Admin Referee information from the Zone 2 Officials Posting. If officials have not been assigned, contact zone2official@gmail.com

NOTE: The Meet Director, Meet Referee, Head Starter and Admin Official must be registered as non-athlete members with USA Swimming, and must have completed Athlete Protection training, a Level II Background Check, and Concussion Protocol Training. The Meet Marshall must have concussion protocol training. All certifications must be current and valid past the meet dates at time of sanctioning. Please talk to your Meet Referee in case of any questions.

  1. When the meet sheet draft is ready, send the Word document to your Meet Referee for review and approval. DO NOT convert the document to PDF.

  2. Incorporate changes suggested by your Meet Referee into the draft.

  3. Set up the meet in Swim Connection/FastSwims. Once you have the meet set up, start running trial entries to see if you have the entry requirements set up correctly. Note: Registration cannot be opened at this point.

  4. When the Meet Referee has approved your meet sheet, a representative of the host club, in many cases the meet director, emails the meet sheet (Word file) to Zone2Sanction@gmail.com.

  5. The Zone 2 Sanctions Chair will review for compliance with Zone 2 rules and policies.

  6. Incorporate changes suggested by the Zone 2 Sanction Chair into the draft. Note: The Meet Director must maintain version control of the draft. Neither the Meet Referee nor the Zone 2 Sanctions Chair is allowed to make edits. This is to ensure there is only one version of the draft in circulation. It is not unusual for the draft to undergo several versions before final approval is granted.

  7. Once the meet sheet has been reviewed and approved by both the Meet Referee and Zone 2, the Zone 2 Sanctions Chair will forward the meet sheet to Pacific Swimming for review and sanctioning.

  8. Once your meet has been assigned a Sanction Number by Pacific Swimming, contact Swim Connection/FastSwims to approve your meet set up. Only when the meet is sanctioned by Pacific Swimming and a sanction number has been issued can entries open, not before. Be sure to review the sanction email in detail for additional tasks and deadlines.
